Website Updates:
Profiles:
Enhancements have been made to the Profiles page.
To access profile details, select the name section located at the top of each card:
Email addresses are now displayed in full and the email icon can be selected to open a preferred email client:
The phone icon can be selected to open a preferred soft-phone client:
Selecting the email address or phone number will copy the respective information to the clipboard:
Where no email address and/or phone number is saved to a profile, these fields will be displayed with a dash, indicating that the information is not available:
Profile Search functionality remains unchanged, allowing you to search by name, email address, external ID, token, or phone number, as before. Additionally, profile filters for Status (all, active, or archived), Type (all, employee, observer, or passenger), and Creation Method (all, manual, or upload) remain the same.
The emergency contact cards have also been updated on the Dashboard:
View and Edit Profiles:
When viewing a profile, information is now organised into sections for easier review and editing. Each section can be edited by selecting the icon at the top right of the card:
The Personal Information section contains:
- Name
- Phone Number
When edit is selected, this opens a modal where name, email address or phone number can be added or edited:
Once saved, the changes will be reflected in the profile page:
Please note that the personal information section cannot be edited for Wonde maintained profiles as this information is provided via Wonde.
Also, an error will be displayed if you attempt to remove an email address from a non-passenger profile, as email is required:
You will also see an error if you attempt to remove an email address for a passenger profile that does not have an external ID, as either email or external ID are required to uniquely identify the profile:
Similarly, if you attempt to remove an external ID for a passenger, where there is no email address saved to the profile, you will see an error as either email or external ID are required to identify the profile:
The System Information section contains:
- Authorisation Group: An authorisation group is assigned for an employee, for examples, admins or drivers
- Passenger: Yes will display if the profile is for a passenger, No will display if the profile is for an observer only or an employee that is not a passenger
- Emergency Contact: If emergency contact is Yes, then the personal information from the profile will be displayed on the organisation's dashboard
- External ID
When edit is selected, this opens a modal where authorisation group can be searched for and selected, passenger status can be turned on or off, emergency contact status can be turned on or off and external ID can be added or edited:
You can expand and collapse the authorisation group search results by selecting the up and down arrows within the authorisation group box.
For organisations that use Wonde, Wonde ID and Year Group (where permission has been given for Year Group) will be displayed:
If edit is selected, only Authorisation group will presented for Wonde maintained profiles as this information is not provided via Wonde.
As there are no passenger profiles for Open organisations, the System Information section does not contain a Passenger status for Open organisation profiles:
The Relationships Information section contains:
- Observer of: Where the profile observes others, the name for each observed passenger profile will be displayed. You can select the name of each observed passenger to view their respective profiles. As observer relationships are established via a passenger profile, this section is not editable for observer only profiles.
- Observed by: Where the profile is for a passenger and the passenger is observed by other profiles, the name of each observer will be displayed. You can select the name of each observer to view their respective profiles.
Observer relationships can be established via a passenger profile, by selecting the icon at the top right of the card and searching for and selecting the required observer(s) in the observed by box. You can expand and collapse the search results by selecting the up and down arrows. To remove an observer relationship, select the 'x' in the observer name chip, or to remove all observer relationships you can select the 'x' in the observed by box.
The Passenger Information section contains:
If the profile is for a passenger, the below sections will display:
- View Calendar: This opens a calendar view displaying all of the passenger's booked trips
Each trip can be selected to view the passenger's scheduled boarding and disembarking stops. You can also select to view all trip information or remove the passenger from the selected trip:
The Travel Information section contains:
- Tokens: the serial number of an NFC tag or RFID card that will be used by the passenger when boarding or disembarking a vehicle
- Notes: information that may be helpful for drivers such as safeguarding considerations
- Tags: pre-defined tags that can be associated to a profile, so that a driver can be made aware , for example, where a passenger needs to be met at a vehicle on disembark
When edit is selected, this opens a modal where tokens can be added or removed. Multiple tokens can be added to a profile. To add a token, type the value and press enter to submit. Letters will be auto-capitalised when enter is selected. Tokens can also be removed by selecting the 'x' in the token chip. Notes can be added to a maximum of 500 characters and tags can be added or removed:
Please note that essential and connect organisations can view and edit tokens, as notes and tags are only available at the unify level:
The Linked User section contains information based on the status of a profile.
Where a profile has no email, so it is not possible to send a link code, the below will display:
Where a profile has an email but no link code has been sent, the below will display. A link code can be sent to the email address associated with the profile by selecting the 'SEND LINK CODE' button:
Where a profile has an email and a link code has been sent but a user has not yet linked their account, the below will display. A new link code can be sent to the email address associated with the profile by selecting the 'SEND LINK CODE' button:
Where a profile has a linked user account, the user account email and phone number will displayed. A user account can be unlinked from a profile by selecting the 'UNLINK' button:
Please note that linked user information won't display for essential level observers or passengers, as there is no Kura app or portal access for observers or passengers at this level
For each active profile, an Archive button is displayed:
Where a profile is no longer required, for example they have left the organisation, the profile can be archived. Once the archive button is selected, you will be asked to confirm, as this will remove passengers from any scheduled trips, unlink any user accounts and break links between observers and observees:
The submit button will become available once you have entered the profile name:
If you would like to unarchive a profile, archived profiles can be found by filtering the profile search page to 'archived'. If you select a profile, you can unarchive this by selecting the 'unarchive' button:
You will be asked to confirm before proceeding but will not be asked to enter the profile name:
If the profile is an emergency contact, the archive button will be disabled until the emergency contact status is removed in system information:
As there are no passenger profiles for Open organisations, the System Information section does not contain a Passenger status:
